Service Guide

Open an Account

Access to your storage account is controlled by the "Authorization for Access" form that we have on file for your company.

The first five names that appear on the form are considered "primary" signatories and these should be the personnel within your organization who will most frequently place orders with us.

Any additional names that appear on the form are considered "secondary" signatories and should be personnel who will only occasionally place orders when the primary signatories are unavailable. Secondary signatories are often people in upper management, legal or accounting positions.

Whenever possible, a primary signatory for your account should place their orders online utilizing their web browser or fax their access requests directly to the storage facility that the materials are stored at least four (4) hours in advance of pickup or delivery. Many of our customers provide instructions as much as two days in advance, and some a week in advance.

If you are not sure in which facility a particular tape or film element is located, you may then fax your request to the Vanowen storage facility for processing.

We may accept telephone orders for materials only after we have become familiar with your personnel and can easily recognize their voices.

Rush order charges may be applied if your requested order is for material that is needed in less than four (4) business hours. This may apply to orders received late in the business day for pickup or delivery first thing the following morning.

In emergency situations, we will at your request open early, close late, or reopen one or more of our facilities so that materials may be accessed from storage.

There is always someone "on call" for each of our facilities and their numbers are provided if you call the storage facility(ies) after hours. Requests for pickups of your media from other vendors may be faxed or called into any of our facilities, or you may contact our Dispatcher and Vault Foreman, John Bragg directly by calling (818) 239-1960, or fax (818) 239-1965.

John or the facility manager will schedule your pickup for the time and place you specify. Remember to tell them how much material is to be picked up so that we can send the correct size truck or van to accommodate the load. Be sure that any materials we pickup or you have delivered to our facilities are accurately and clearly labeled since we rely on the label information for data input purposes.

If you have any questions about your inventory, they may be directed to either the storage facility where the product is housed or ask Lynda Capuano at the Vanowen storage facility for a computerized inventory report. Lynda will be happy to print up the appropriate report and arrange to have it mailed to you. Small Inventories and Access Item Reports can be faxed or emailed if the need arises. This information is also available via the Internet on our secure website with a valid log in and password. To enable Internet access to your account you will need to first contact Lynda to obtain a password.
